Administrative Specialist and Grants Administrator

Due to a recent promotion, we have a position open for an experienced Administrative Specialist & Grants Administrator.

Do you excel at organization and enjoy working with details? In this role, you’ll analyze information, draw insightful conclusions, and make recommendations. You’ll also provide essential administrative support to the organization and the Executive Director.
Did we mention grants? This role administers and coordinates internal and external grant portfolios. Specifically, you will:
• Collaborate with project managers and contracted clients to prepare and submit grant applications.
• Ensure accurate and timely administrative and financial reporting in compliance with regulatory requirements.
• Ensure grant reporting deadlines are met for financial administrative and program activities.
• Serve as the point of contact between the organization, assigned external clients, and the grant-making agency.
• Monitor post-award compliance and performance to ensure grantees meet grant objectives in conformance with grant guidelines.
• Meet closeout requirements: reconciling all activity over the life of the grant, verifying accurate allocation of expenses, revising allocation if necessary, requesting final reimbursement, and overseeing the writing and submission of the final written reporting.
This position requires a related associate degree or a minimum of three (3) years of experience in grants and/or administrative support in a medium size business environment.
To be successful, you should have advanced knowledge of Microsoft Office with specific proficiency in Outlook, Word, Excel, and PowerPoint. Proficiency in Adobe Acrobat Pro, including form creation and advanced document security processes, is critical. Adobe InDesign or Creative Suite experience is beneficial. Experience using WordPress for website content maintenance is also a plus.
This position is full-time and works on-site in our office, Monday-Friday. We are a small team located in downtown Portland, working together to provide exceptional services to our members.
This role is classified as non-exempt with a starting pay range of $25-30 per hour depending on experience. You are also eligible for medical, vision, and dental insurance, a flexible spending account, long-term disability, life insurance, and 401(k) plan with an employer contribution.
